Regional Office Manager (Peacebuilding)
Information about the Role:
Job Title: Regional Office Manager
Location: Regional Office with extensive travel
Reporting to: Regional Director, based in the Regional Office
Salary: €35,000 to €42,500 gross of tax. 33 days of annual leave (plus R&R if appropriate, accommodation and food allowance when in-country)
Role Duties and Responsibilities:
Support the team in the regional office, country capital offices and the local hubs
- Convene meetings of the regional office team, country team or hub teams, arranging dates and venues, collating relevant papers if necessary, taking minutes, following up action points
- Diary management for the Regional Director, setting up regular meetings with staff and people from outside the organisation, arranging visas, booking flights and accommodation etc
- Steward the Risk Register, ensuring risks are reviewed regularly by the responsible person
- Technical support with online and in-person conferences and events
- Working with the UK team to help oversee the security rota, ensuring the UK team have the information required for tracking staff working in hazardous areas
- Be the first line of IT support for the whole team, fixing minor issues as they arise and referring more difficult questions to UK Operations Manager/IT consultants; help the team implement the cyber security policy
- Help the team improve file and data management, streamlining a workable system across the organisation
- Keep a central record of programme deadlines and help ensure that they are met in good time
- Procurement of IT equipment, branded clothing, business cards etc, keeping a central record of Concordis’ assets
- Manage procurement, resources and solutions for office and hub set up
- Provide direct administrative support as needed, maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists
Human Resources
- Steward the recruitment processes across the region, working with the line managers responsible to prepare job descriptions, advertise roles, sift and shortlist, interview, take up references and checks, offer jobs and issue contracts. Ensure HR files are kept up-to-date
- Oversee onboarding of new staff, ensuring they have the information and equipment they need, are briefed on policies and feel part of the team
- Diarise appraisals and ensure training needs are met
- Work with all teams to ensure safeguarding policies are known and being implemented
- Promote and maintain records of staff training
Liaise with UK team to support good governance
- Ensure Concordis’ policies (e.g. Security, Safeguarding, Anti-Corruption etc.) are available to all staff and kept up-to-date
Person Specification:
- At least 5 years in senior administration/management role.
- Professional level written and spoken French and English.
- Excellent IT skills.
- Able to provide basic IT support.
- Resourceful, proactive, flexible and kind, able to manage and prioritise competing tasks.
- Personal efficiency, resourcefulness and organisational ability, and the ability to be take initiative, remain flexible and maintain good humour in challenging circumstances
